By booking or staying at any property managed by Caicos Villa Management Ltd (“Company”, “we”, “us”, or “our”), you (“Guest”) agree to the following Terms & Conditions.


1. Reservation & Payment Terms

  • A reservation is confirmed once the required deposit or full payment has been received.

  • Final payment is due as stated in the booking agreement.

  • Failure to submit payment by the due date may result in cancellation of the reservation and forfeiture of funds paid.

  • We accept payment via approved credit card processors (Visa, MasterCard, and other methods as listed at time of booking).

  • The Guest authorizes Caicos Villa Management to charge the card on file for agreed rental charges, damages, unpaid fees, or policy violations.


2. Security Deposit

  • A security deposit may be required prior to arrival.

  • The deposit is refundable within 4–7 business days after check-out, provided:

    • No damage has occurred

    • No items are missing

    • No excessive cleaning is required

    • No policy violations have occurred

  • Additional charges exceeding the deposit amount remain the responsibility of the Guest.


3. Cancellation Policy

Cancellation terms are governed by the cancellation policy provided at time of booking. All cancellations must be submitted in writing.

Travel insurance is strongly recommended.


4. Check-In & Check-Out

  • Check-in and check-out times are provided in the booking confirmation.

  • Early check-in or late check-out must be approved in writing.

  • Unauthorized late departure may result in additional charges.


5. Occupancy Limits

  • Only the number of guests stated in the reservation are permitted on the property.

  • Unauthorized guests may result in immediate termination of the reservation without refund.

  • Events, parties, or gatherings are not permitted unless pre-approved in writing.


6. Property Use & Conduct

Guests agree to:

  • Treat the property with care and respect

  • Follow all house rules

  • Avoid excessive noise or disturbances

  • Comply with local laws and HOA regulations (if applicable)

Illegal activity, excessive disturbances, or property misuse may result in immediate eviction without refund.


7. Damage & Liability

  • Guests are responsible for any damage caused during their stay.

  • Guests must report any damage immediately.

  • Caicos Villa Management is not responsible for accidents, injuries, illness, loss of personal belongings, or valuables during the stay.

  • Use of pools, hot tubs, docks, watercraft, and other amenities is at the Guest’s own risk.


8. Maintenance & Emergencies

  • Guests must report maintenance issues promptly.

  • While we make every effort to ensure all systems are operational, no refunds will be issued for temporary outages of utilities, internet, or services beyond our control (e.g., weather, government outages).


9. Force Majeure

Caicos Villa Management shall not be liable for cancellations, interruptions, or changes caused by events beyond our control, including but not limited to:

  • Hurricanes or severe weather

  • Natural disasters

  • Government restrictions

  • Utility failures

  • Acts of God


10. Property Substitution

In rare cases where a property becomes unavailable due to unforeseen circumstances, Caicos Villa Management reserves the right to substitute comparable accommodations or issue a refund at its discretion.


11. Indemnification

Guest agrees to indemnify and hold harmless Caicos Villa Management, property owners, and affiliates from claims arising from Guest’s use of the property.


12. Governing Law

These Terms shall be governed by the laws of the Turks and Caicos Islands.


13. Acceptance of Terms

By completing a reservation, the Guest confirms they:

  • Have read and understood these Terms of Service

  • Agree to comply with all policies and house rules

  • Accept financial responsibility for the reservation

14. Luxury Villa & Staff Services Terms

The following additional terms apply to villas that include private staff services such as butlers, chefs, housekeeping personnel, drivers, security personnel, or concierge staff.


14.1 Staff Services & Conduct

  • Villa staff are employees or contracted service providers of the property owner or management company.

  • Guests agree to treat all staff with professionalism, courtesy, and respect at all times.

  • Harassment, inappropriate behavior, discrimination, or misconduct toward staff will result in immediate termination of services and possible eviction without refund.

  • Staff are not permitted to perform illegal, unsafe, or unreasonable requests.


14.2 Butler Services

Where butler service is included:

  • Butler duties are limited to hospitality-related services such as guest assistance, table service, light setup, concierge coordination, and villa presentation.

  • Butlers are not personal assistants for off-property errands unless previously agreed.

  • Service hours are defined in the booking agreement. Overtime service may incur additional charges.

  • Butler gratuity is not included unless specifically stated and is at the guest’s discretion.


14.3 Private Chef Services

Where chef services are included or arranged:

  • Grocery and provisioning costs are the responsibility of the Guest unless otherwise stated.

  • Special dietary requests must be provided in advance.

  • Chef service hours are limited to agreed meal periods.

  • Additional meals, specialty requests, or extended hours may incur additional charges.

  • Guests must inform management of food allergies prior to arrival.


14.4 Staff Hours & Overtime

  • Staff service hours are outlined in the booking agreement.

  • Services requested outside agreed hours may be subject to additional fees.

  • National holidays may incur premium staffing rates.


14.5 Vendor & Third-Party Services

  • All third-party services (yacht charters, spa therapists, entertainment, babysitting, transportation) are independent providers.

  • Caicos Villa Management is not liable for actions, injuries, delays, or damages caused by third-party vendors.

  • Payment terms for third-party services are governed by the provider’s policies.


14.6 Events & Gatherings

  • Events, weddings, receptions, or commercial activities are strictly prohibited unless approved in writing.

  • Approved events may require:

    • Additional security

    • Event fees

    • Increased security deposit

    • Vendor approval

  • Unauthorized events will result in immediate termination of the stay without refund.


14.7 Property Use & High-Value Assets

Luxury villas may contain high-value furnishings, artwork, décor, and specialty appliances.

Guests agree to:

  • Use all furnishings and amenities responsibly

  • Not move heavy furniture without permission

  • Not remove items from the property

  • Immediately report any accidental damage

Replacement or repair of specialty items may exceed the security deposit, and guests remain financially responsible.


14.8 Pool, Waterfront & Recreational Equipment

  • Use of pools, docks, kayaks, paddleboards, gym equipment, or other amenities is at the Guest’s own risk.

  • Children must be supervised at all times.

  • Caicos Villa Management assumes no liability for accidents or injuries.


14.9 Media, Photography & Commercial Use

  • The property may not be used for commercial photography, filming, influencer content, or marketing purposes without written approval.

  • Unauthorized commercial use may result in penalties.


14.10 Staff Gratuities

  • Gratuities are not included unless specifically stated in the agreement.

  • Suggested gratuity guidelines may be provided separately.


Optional Stronger Clause (For Ultra Luxury Villas)

If you want stronger protection for high-end properties, you can add:

Caicos Villa Management reserves the right to immediately terminate a reservation without refund if guest behavior is deemed disruptive, unsafe, or inconsistent with the standards of a luxury private residence.
